Frequently asked questions regarding your Double account.

Double provides simple, transparent pricing for firms of every size. Choose the right plan for each client, pay monthly per connected client, and add unlimited users.

The information in this article serves as a central location for frequently asked billing questions. Please note that super admins have access to all Double-related billing information under the Billing tab in their Practice Settings.

Will I be charged per user, per client, or a flat monthly fee?

Note: The pricing described below applies to firms on a standard, month-to-month plan. If your firm signed a contract with Double's sales team, your rates and billing terms may differ. See What if I signed a contract? for more detail.

Double will bill your firm according to the number of connected clients at the beginning of the monthly billing cycle. A client is considered “connected” when you import their QuickBooks Online or Xero ledger files.

Add as many team members, client portal contacts, or unconnected clients as needed, always free of charge!

Additional features

A practice email inbox connection is included on all Core subscriptions, with additional inboxes available at $10 (USD) per connection, per month. All personal inbox connections are $10 per inbox, per month.

Review client plans & charges

Admins can filter their Practice Settings > All client settings to see which clients are currently unconnected (free), and which are being billed (and at what price).

Review connected emails

Admins can view a list of all currently connected personal inboxes by going to Practice Settings > Manage users > Emails.

All connected practice emails can be reviewed under Practice Settings > Client Portal > Branding > Practice emails.


Can I subscribe with 0 clients?

To start a Double subscription, you must have at least one connected client.

If you don’t have any clients to connect, we recommend connecting your QuickBooks Online Accountant account.


Can I pick and choose which features to pay for?

You can! To make this even easier, we've broken our features into different tiers, based on the kind of services you might offer your clients.

From Practice Settings > All client settings > Client plan, choose the Double package that works for each client individually. Mix-and-match so you only pay for the features you need for each client.

Does Double charge for unconnected or archived clients?

Unconnected clients

Clients that are not currently integrated with a ledger are considered "Unconnected."

Double will also reflect this under Practice Settings > All client settings > Client plan, or you can choose to add the "Client status" column on the Client List.

Archived clients

Archiving a client will sever the connection to the ledger immediately, and remove the client from future billing cycles. More on archiving clients here.

There is always the option to reactivate & reconnect an archived client at anytime; however, if reactivated, Double will charge a pro-rated amount starting on the date of the reactivation. Upon reactivation, Double will not charge for the time period that the client remained archived.

Note

Removing the Double app from within your QuickBooks or Xero software will NOT convert the client to an unconnected status.


How do I change a client's current subscription plan?

Admins have access to manage client plans under Practice Settings > All client settings > Client plan (column).

Upgrading tiers

Upgrading a client's plan will add a pro-rated charge for the remainder of the current billing cycle, to be paid on the next invoice.

  • For example, if Double bills on the 1st of the month, and an admin upgrades from Core ($10/month) to Scale ($50/month) on June 20th, they will receive a prorated charge on July's invoice (for the time in Scale from June 20th - June 30th).

Downgrading tiers

Downgrading a client's plan to a lower tier will take effect on the date of the next invoice.

  • For example, if Double bills on the 1st of the month, and an admin downgrades a client from Plus ($25/month) to Core ($10/month) on June 3rd, that client will continue having Plus until end of day, June 30th.


How am I billed for a connected email inbox?

Integrated email addresses within Double are $10/month per inbox. Firms can connect 1 practice inbox for free.

Practice inboxes

All firms can connect 1 practice inbox for free, included with their Double subscription (with the exception of our legacy "Lite" customers who will need to upgrade to Core in order to have a free inbox connection).

Add a practice inbox from Practice Settings > Client Portal > Branding > Practice emails. More on practice inboxes here.

  • 1st practice inbox = Free!

  • Additional practice inboxes = $10/month per inbox

Personal inboxes

Any user with personal inbox access can add an email under User Settings > Inbox tab. Admins can grant access under Practice Settings.

  • Each personal email inbox = $10/month per inbox

Connecting a new inbox

Each time a new inbox is connected, a prorated charge will be added to the upcoming invoice.

  • For example, if Double bills on the 1st of the month, and a user connects a personal inbox on June 20th, Double will add a prorated charge on the July invoice (for the connection from June 20th - June 30th).

Removing an email inbox

Removing an integrated email will 1) disconnect the email immediately, and 2) remove the corresponding charge from any upcoming invoices.


Am I charged for using AI?

Double includes AI credits with every subscription plan. AI credits are pooled at the firm level, meaning your firm has a single shared credit balance rather than separate budgets for each client. More on AI credits here.

Each connected client contributes to the shared AI credit pool based on their plan:

  • Core: $1 per client per month

  • Plus: $5 per client per month

  • Scale: $10 per client per month

For example, a firm with 2 Core clients, 2 Plus clients, and 2 Scale clients would have a combined pool of $32/month in AI credits.

Ask Double is a firm-wide credit, whereas other features are client-related (i.e. Flux analysis is a Scale plan exclusive).

If your firm's shared pool is fully consumed before the cycle resets, AI-powered actions will be paused across all clients until credits are replenished or the cycle resets. Credits reset automatically at the start of each billing cycle.

What if I signed a contract with Double's sales team?

If your firm signed a contract with Double's sales team, your billing terms may differ from the standard monthly rates described above.

Contracts typically include negotiated pricing and auto-renew automatically at the end of the contract term; this means you may continue to be charged at your contracted rate until the renewal date passes.
