What is the Double Inbox?

The Inbox feature allows you to read and manage emails directly within Double, enabling seamless collaboration, delegation, and improved visibility across your team.

With built-in commenting, task creation, and a shared email history for each client, Double Emails ensures nothing falls through the cracks.


Getting started

Emails is designed to simplify your workflow by keeping your emails, tasks, and team communication in one place.

To access Emails, click Inbox at the top of your screen.

To connect your practice inbox:

  • Go to the Inbox tab

  • Select Inbox > Practice > Inbox (not connected)

  • Choose your email provider and follow the steps to connect

    • Connect to Gmail OR Connect to Outlook

When a practice email is connected in your Practice Settings, this will also enable your practice inbox.

Comments

Instead of forwarding emails or switching to Slack for discussions, you can collaborate inside an email thread using Double's built-in commenting feature.

Inbox permissions

Practice inboxes

To grant Inbox viewing permissions to your users:

  • Go to Practice Settings > Manage Users > Emails tab (Quick link)

  • Under the Practice inbox access and Client Email History columns, enable or disable accessibility from there!

To disable the Inbox feature entirely, go to your Practice Settings > Manage Users > Emails and select "Hide Inbox tab for entire practice."

Personal inboxes

Control optional personal inbox access to your users by going to Practice Settings > Manage Users > Emails > Personal inbox access column (Quick link).


Supported email providers

At this time, Double Inboxes only supports connecting Gmail and Outlook-based email accounts.

If you do not use one of these two providers for your email system, you can continue to use your practice email to send emails from Double, but you will not be able to read emails inside your Inbox tab.


Reconnecting an inbox

If your inbox shows as disconnected in Double, here's how to restore access:

  1. Go to the Inbox tab at the top of your screen

  2. In the left sidebar, find the inbox showing as not connected

  3. Click Reauthorize

  4. Follow your email provider's authentication steps in the popup (Gmail or Outlook)

Once reauthorized, Double will regain access to all emails that were missed while the inbox was disconnected..

Still having trouble? Try revoking and re-adding the inbox

If reauthorizing doesn't resolve the issue, you can revoke access and reconnect the inbox from scratch.

Removing practice inboxes

  1. Navigate to Practice Settings > Client Portal > Branding (Quick link)

  2. Find the inbox in question and click Manage

  3. Click Revoke Access

  4. Re-add the inbox by clicking Add Inbox or + Add another practice email and following the authentication flow

Removing personal inboxes

  1. Go to User Settings (Quick link)

  2. Under the Inbox tab, find the inbox in question and click Manage

  3. Click Revoke Access

  4. Re-add the inbox by clicking Add Inbox and completing the authentication flow

Will I lose any emails? No, once you reconnect, Double will regain access to all emails that were missed while the inbox was disconnected. There will be no gap in coverage.


Navigating across multiple inboxes

Your inboxes are grouped by Personal and Practice sections. When composing emails, you’ll see a "From" dropdown grouped by inbox type.

  • Personal inboxes are marked with a lock icon, indicating that only you can view this email inbox

Option 1: Inbox tab

  1. Click on the "+ Add inbox" button in the Inbox tab

  2. Select "Practice" and connect your desired email

Option 2: Practice Settings

  1. Navigate to Practice Settings > Client Portal > Branding (Quick link)

  2. Click Add another practice email under "Practice emails"

Personal inboxes

Option 1: Inbox tab

  1. Go to your Inbox tab

  2. Click on the "+ Add inbox" button at the bottom of your email list

  3. Select "Personal" and connect your desired email

Option 2: User Settings

  1. Go to User Settings > Inbox (Quick link)

  2. Click Add another personal email

  3. Complete the authentication flow

  4. Once connected, you can:

    • Enable/disable email signature

    • Preserve or skip historical emails

    • Set as default

    • Revoke access


Frequently Asked Questions

Which emails appear in my client's email history?

All emails sent to or received from any contacts for the client will appear in the Email History > Client Email History tab.


How can I delegate emails to my team?

If an email requires follow-up or action, you can turn it into a task directly within Emails.

  1. Click the Task button in the email.

  2. Select a client and link the email to an existing or new task.

  3. Set a due date and assign it to a team member.

This keeps emails actionable and prevents important tasks from being lost in inbox clutter.


How much does each Double Inbox connection cost?

Your first practice email inbox connection is free as a part of Core, Plus, and Scale subscriptions. This lets your entire team read, respond to, and collaborate on emails sent to your practice email, at no added cost.

Connecting additional practice emails, as well as adding any personal inboxes, costs an extra $10 per email per month.


I can't preview the email, what's wrong?

If you see a message that says "Unable to retrieve email preview. This email may have been deleted in another location." Double is unable to load the email preview.

The most common reason is that the original email was deleted or the email account it came from has been disconnected from Double.

Next steps:

  1. Double-check whether the email still exists in your email outside of Double

  2. Reconnect the email account within Emails if it was disconnected.


How do I keep the client email history of a user that I need to remove/delete from Double?

In order to retain historical emails between clients & that user's inbox, we recommend keeping their Gmail or Outlook email account active until after the connection has been removed from Double.

You can remove a personal inbox by:

  1. Go to Practice Settings > Manage Users > Emails tab (Quick link)

  2. Clicking on the email listed for that user and choose "Remove Connection"
