Task Statuses

Task statuses let your team assign a status to each task within a close, giving a clear, high-level view of progress.

These statuses make it easy to see where each task stands (both within the close itself and on your Task List) so you and your team can stay organized and keep all workflows moving efficiently.


Customizing task statuses

To customize all task statuses:

  1. Go to Practice Settings (βš™οΈ icon)

  2. Click Practice Management

  3. Click the Workflows tab

  4. Scroll to Global settings, then choose "Task statuses"

Edit current statuses by clicking on the status' name, editing, and saving from there.

To remove task statuses, select "Remove" under your Task status section. Task statuses cannot be recovered once they are removed.


Updating a task's status

Updating from the close page

Within a close, update the status of the task by clicking into the status box.

Checking the circle to the right of the task will automatically update the status to "Done."

Updating from the task list

From the Task List, click into the task's status cell to choose the corresponding status.

Updating from the client list

On the client list, tasks are sorted into columns by their sections. Click into the corresponding cell to see the list of tasks for that client's close period.

From there, select the status from the drop down menu to the right of the task.


Canceling & skipping tasks

There may be periods where a certain task does not need to get done, a task falls behind and does not need to be completed.

For these types of tasks, you can select the "Canceled" status.

To cancel or "skip" a task,

  • Go to the task's status drop down

  • Select Canceled as the task status in order to cancel or skip the task

πŸ’‘ Canceling a task does not affect the due date schedule of any other tasks.


Task sign-offs vs task assignees

It's important to note that sign-off functionality is de-coupled from task ownership.

The person responsible for completing a task (the task owner) can be different from the person responsible for signing it off at each stage (Preparer, Reviewer, or Manager).

  • For example, a task may be assigned to User A, but the current sign-off step might belong to User B as the Reviewer.

This separation allows for greater flexibility in team workflows and ensures that:

  • Tasks can move through the correct approval chain, regardless of who initially worked on them.

  • Sign-offs always reflect the appropriate reviewer or approver, not just the task owner.
