Agents in Double can do anything you tell them to, but it’s good to have some place to start.
The three most common uses for Agents are:
Pulling bank and credit card statements
Coding your bank feeds
Reconciling inside QBO.
See below on how to set those up.
Before you start
Autoclose requires both Scale and Agents. Please make sure you have purchased the Agents package and upgraded your client to Scale before you begin.
If you have not enabled Agents already, you can book time to talk to sales here.
Credentials
Double’s agents can browse the internet, but in order to login to applications and do work for you, you need to give them access. You do this through Credentials.
Credentials lets you give Double access to vaults in your password manager. It also lets the agent check your practice phone number and any connected emails for 2FA codes that might be sent in the login process.
You can access a client’s credentials by clicking the Info button at the top of the Close page and selecting the Credentials tab.
We currently only integrate with 1Password, but more integrations are coming soon.
1Password
To integrate with 1Password, you need to set up a Service Account. This will let you create an API-only user that has access to one or more vaults.
See these instructions on how to set up a Service Account in 1Password.
We recommend setting up one vault that has access to all the credentials you need for the client you want to work on.
We also recommend creating a separate vault for the agent’s QuickBooks account and giving the service account access to both vaults.
Agent QuickBooks account
Double can do work inside of QuickBooks like reconciling (see below) or locking the books, but it needs to be given access to a user account to do so.
We recommend creating a separate user and giving it access to the clients you want it to work in (you can always add or remove client access later).
See these instructions for how to set up a new user in Intuit Accountant Suite. Give this user access to any clients you want Double’s agent to work on [1], and then put it its credential in your vault.
Make sure to set your practice phone number as the agent’s phone number for 2FA purposes so the agent can login seamlessly.
2 factor authentication (2FA)
Double can read 2FA codes sent to your practice phone number and any connected emails. For this reason, we recommend using the practice phone number in any credentials that the agents have access to. We also recommend connecting any email used for 2FA purposes.
Logging in without granting credentials access
If you are unable to connect your password manager or grant access to any specific credentials, you can still log into the site on the agent’s behalf.
When the agent gets to the point where it needs your help, it will pause and allow you to take over to sign in for it. After you sign in, you can hand the task back to the agent and it will continue working.
Pulling bank and credit card statements
Because Double’s agents can browse the internet, they can now collect bank and credit card statements just like your team can.
Setting this up is simple. First, make sure you have set up credentials for the client you’re working on.
Once you’ve done that, open Ask Double and tell it to make you an agent to pull that statement.
Here’s an example prompt you can use:
Please make an agent that pulls this client’s American Express statement every month on the 5th from https://americanexpress.com.
Once it has downloaded the statement, it should attach that to the corresponding account reconciliation task in the latest month’s close.
You can repeat this request for each bank or credit card you need to pull.
If you want to test the agent, you can do so by clicking on the agent, going to Agent settings, and clicking Run to kick off a manual run.
Coding the bank feed
To code the bank feed, you first need to connect the bank feeds.
To do this, go to the Bank feeds page, and then click Mapped accounts to start connecting your client’s banks.
See more here on how bank feeds work in general and how to connect bank feeds.
Once you’ve connected the bank feeds, open Ask Double and ask: “Code this client’s bank feeds”. We recommend doing this with Ask Double first so you can tell Double how you’d like the bank feed coded in the future.
As you give Double instructions on how you want your bank feeds coded, our AI will both perform the categorization and remember your instructions for future use.
Once Double has categorized your bank feeds, ask Double to turn it into an agent:
Save everything you’ve learned from this session to memory and make an agent that categorizes the bank feeds every Monday morning and on the 4th of every month.
Doing that will create your an agent that categorizes your bank feeds.
Reconciling inside QuickBooks
To reconcile in QuickBooks, make sure you have set up credentials with a QuickBooks account for your agent.
This agent should run once you have categorized the bank feeds and collected the appropriate bank and credit card statements.
To set up a QuickBooks reconciliation, use a prompt like the below:
On the 7th of every month, reconcile the following bank and credit card accounts in QuickBooks for this client:
{list accounts here}
Before reconciling, make sure all transactions have been categorized through the end of the current close, and make sure the relevant statements are attached to the appropriate account reconciliation task in Double.
Use those statements to reconcile the above accounts in this client’s QuickBooks file.
Other workflows
Agents can do more than the above three jobs. An agent can do anything that needs a browser.
Some other common workflows include:
pulling reports from a point of sale system and posting those as journal entries.
adding prepaid expenses or fixed assets from source transactions inside Double.
running an AI-assisted review before any human looks at the books.
Special considerations around agent access
[1] We recommend creating one set of QuickBooks credentials for every client group. Any human user overseeing these agent runs will implicitly have access to the agent’s credentials, which will give them access to any files the client has access to. As a result, we recommend aligning the QuickBooks permissions of the agents with the users who will work on them.
Pro Tips
We strongly recommend letting Ask Double create your agents rather than creating them yourself.
For example, if you want to set up an agent to pull a Chase bank statement, ask Double, "make me an agent that pulls the Chase bank statement every month on the 5th and attaches it to the corresponding account reconciliation task on the latest close," instead of trying to manually set this up in the in-app builder.
Prompts in agents built this way will be more detailed and the initial Ask Double conversation will give you an opportunity to capture edge cases you might not think about when writing the prompt manually.
