Managing files in Double & syncing them to the connected ledger.

Attachments can be added to questions directly in the Client Portal by either the client or the bookkeeper.

When a client uploads an attachment to a transaction question, it can be pushed to QuickBooks and linked to the relevant transaction (e.g., a receipt) or Payee (e.g., a W9).

To view an uploaded attachment, click the attachments icon. Click the attachment's name to preview it.


Rolling task attachments forward to the next close

Some closing tasks rely on the same file attachments every month. When enabled, Double will copy designated task attachments into the next close period automatically.

No more re-uploading files or tracking down last month’s version! Everything you need is already there when the task starts, saving time and energy from the jump.

To roll closing task attachments forward,

  • Go to the attachment

  • Click "Actions"

  • Select "Enable roll-forward"

Enable roll-forward is only available for closing task attachments at this time.


Transaction question attachments: Uploading to QuickBooks

Transaction questions are accessible from the client close via Client questions → Transaction questions.

When a client adds an attachment, it can be viewed by clicking the Files icon.

From there,

  • Select "+ Add to QuickBooks Online"

  • Select where the file should be stored

    • Select "Upload to Transaction" or "Upload to Vendor"

      This will publish the attachment to the corresponding location in the QuickBooks file.


Non-transaction question attachments: Uploading to QuickBooks

Non-transaction questions are not tied to specific transactions in Double, but attachments can still be uploaded to QuickBooks. These questions are found in the client close under Client questions → Non-transaction questions.

When a client adds an attachment, it can be viewed by clicking the Files icon.

Transaction question attachments can be uploaded to QuickBooks as Transaction or Vendor attachments.

To move the file from the question to a transaction,

  • Select "Actions"

  • Select "Move to" then "Transactions"

  • Search for the desired transaction

  • At the far right of the transactions table, choose "Upload to QBO"

Auto-sync transaction question attachments to QuickBooks & Xero

To automatically sync all transaction attachments from Double to the integrated QuickBooks Online or Xero file, enable the auto sync function in Practice Settings (admins only).

  1. Go to Practice Settings > Client portal

  2. Under "Inbound questions/files" find the list of optional portal features

  3. Check the box next to "Automatically sync uploaded transaction files to QuickBooks Online & Xero"

With this setting enabled, all transaction question attachments uploaded from the portal will auto-sync to the ledger.


File attachment counts

Oftentimes while working throughout Double, users will see a file count tied to the file icon, indicating that there is an attachment.

Users can expect to see this count on all client portal questions as well as custom and closing task attachments.

Note: For performance reasons, the file/attachment count is not available in transaction tables for any transaction review reports or in the search all transactions table.
