Common reasons transactions aren't showing up in your close's file review reports

Missing transactions in the close

The four common reasons Double transaction data does not match the QuickBooks or Xero file:

  1. Transactions not in the ledger: Still in the bank feed

  2. Dated outside of the trailing 12 months of data: Change to the correct close

  3. Transactions are elsewhere in the report: Transactions marked as reviewed


Common causes

1) Double doesn't have the latest data from QuickBooks / Xero

When a client’s close is being worked on in Double and QuickBooks or Xero at the same time, the Double page must be refreshed to display newly added transaction data.

2) Transactions are not in the ledger: Still in the bank feed

Double only has access to transactions in the ledger, not transactions in the bank feed.

Any uncoded transactions that remain in the bank feed in QuickBooks or Xero are not available in Double. These transactions must be classified or accepted from the QuickBooks bank feed before they appear in Double.

💡 This also applies to questions added via the Chrome Extension - those questions are not visible in Double or the Client Portal until the transaction data is classified.


3) The transactions are outside of your close period's date range

For performance reasons, Double pulls the last 12 months of transaction data for a given close period.

This applies even when "All Dates" is selected in a report (All Dates refers to all dates available within that close). Viewing current-month transactions requires being in the latest close. If the latest close is not active, starting it will surface new transactions.

  • For example, in a client’s September 2025 close, Double pulls transaction data from October 2024 through September 2025. To view transactions older than that range, navigation to an earlier close is required. This also applies to transactions that occur after the close currently being worked in.

4) The transactions you're looking for are marked as reviewed 👍

If any transactions are marked as Reviewed (with a thumbs-up status), the Reviewed column must be selected to display them.

Uncategorized Transactions: Are all the accounts included?

If transactions are not appearing in the Uncategorized Transactions report, ensure the relevant accounts are added to the picker at the top of the report. These accounts are saved in the client’s settings and only need to be configured once per client.


Edit Excluded List: Is your transaction excluded?

Check the Excluded list for any excluded accounts, vendors, customers, transaction types, and descriptions that might be actively excluding the transactions from the report.
