Receipts is our AI-powered receipt and bill processing functionality. It lets you easily collect documents from your clients, process them with rules and AI, and post them to your client's QuickBooks file.
Receipts is available with Plus subscriptions. It is only compatible with QuickBooks Online at this time; support for Xero is coming soon!

Getting Started
1) Upgrade your client to Plus
To upgrade your client's subscription plan from Core,
Go to Practice Settings > All client settings
Click on the current plan under the "Client plan" column
Select the plan you'd like to upgrade to
Clients on the Plus plan have access to the Receipts feature
2) Create the client forwarding email
When you first enable Receipts for a client, you'll be prompted to set up their client forwarding email. This address is unique per client, so any emails sent to this address will always show up in their Client Uploads Inbox.
All forwarding emails end in @books.cc, and cannot be changed after they are set.
You do not have to be a contact to send emails to this email – users or vendors can also send documents to this email.
Set up your client forwarding emails in bulk from your Practice Settings -> All Client Settings.
3) Add a practice phone number
If you have already set up your practice phone number, you're already all set up here! If not, you can set this up in Practice Settings -> Client Portal -> Branding -> Practice phone number.
Optional: Auto forwarding to @books.cc

To set up email forwarding to your client forwarding email (@books.cc), follow the steps below:
Access your email Settings > Forwarding and POP/IMAP tab > Add a forwarding address
Add a forwarding address (your client's @books.cc forwarding address) and verify the forwarding address in the pop up
Go to your Client Uploads > Refresh the list
Open the forwarded email > copy / paste the link into your browser
Once loaded, click the Confirm button

Uploading Files
All submitted receipts land right inside the client's uploads inbox.
With Plus, clients can upload files to the upload inbox in 3 ways:
From the Client Portal (browser or mobile app)

Bookkeepers can also upload files manually from the Client Uploads tab by clicking the Add Files button in the top right.
Receipt routing (Email & Text) pro tips
Anyone can email a receipt via the client forwarding email (@books.cc) and it will land in your client's Upload Inbox.
Anyone can text your practice phone number a receipt, and it will land in either the Uploads Inbox or the Staging Area.
The Staging Area
If a contact with multiple accounting files (or someone outside of your contact list) texts you a receipt, Double will place that receipt into a staging area so you can review them and choose which clients they should go to.

Scanning uploaded receipts
Once you have a file in your Uploads inbox, you can scan it to parse it with our AI. Once the scanning process finishes, all files that relate to transactions will move down to the Transaction files area.
From there, you can add or edit information about the transaction, such as its vendor or category.
Auto scanning uploads
You can also turn on Auto scanning to automatically scan all files.
If a scanned receipt does not automatically drop down to the Transaction Files section, it's likely because the scanner failed to find a "Total" on the upload.
Manually move the file by going to Actions (3 dots) > Move to transaction files.
Review transactions
Suggestions
Once a document is in your Transaction files table, Double will automatically suggest vendors, categories, classes, and locations based on the data from the receipt and your client's transaction history.
Edit any of fields before posting. To preview the full file, click the file's name.
Receipt rules
Create rules to help automate processing for common or repeating receipts.
Vendor rules are tied to a particular vendor, but you can create rules based on any text in the receipt, and multiple rules can apply to a single receipt.
For example, you can create a rule to automatically set the payment account of an expense if a receipt contains the last 4 digits of that card.
Matching & posting transactions
Receipt matching
For every receipt, Double will look through your ledger for potential matches to existing transactions that match the receipt the total & are within 7 days of the date on the receipt. This greatly reduces the likelihood that you'll post a duplicate transaction.
If you confirm the match, the receipt will be added as an attachment to the existing transaction.
Not seeing a receipt match for a transaction that you know is in QuickBooks?
Check if you're in the right close period
If yes, refresh QuickBooks data at the top of the page
Attaching an upload to an existing transaction
Similar to receipt matching, Double allows users to move the receipt file to a related transaction and attach it in QuickBooks.
To move a file from the uploads inbox to a transaction in QuickBooks,
Select Actions > Move file to... > Transactions
Find the transaction
Click "Upload to QuickBooks"
This will remove the transaction from the uploads inbox and add it as a transaction attachment
Posting Transactions
When you've finished editing your receipt, you can post it to the ledger - creating a new transaction. Once the transaction posts successfully, we'll also give you a link to open that transaction directly in QuickBooks.

Pro tips
Creating multiple transactions from one file
If an uploaded receipt needs to be matched or posted to more than one transaction, use the "Duplicate transaction file" option to create copies of the original receipt.
Once the file has been duplicated, it will be located in the Transaction Files table and can be matched or posted to a transaction.
Duplicating: Splitting receipts into multiples
Receipts gives you the ability to split a single receipt transaction into multiple PDF files. This is especially useful when a single scanned document contains multiple receipts that need to be treated as separate transactions.
Select the transaction file you’d like to split
Click Duplicate
For each duplicate, select the specific pages you want to include
Repeat this process to create as many new versions as needed
Rename each version to keep things organized
Click Create to generate the new transaction files
Once your new files are created, you can either:
Create new transactions from them, or
Match them to existing transactions in your ledger.

Client questions
If you need to ask your client a question about a transaction file, you can ask it from the uploads inbox or from "Transaction Files" after it's scanned.

Best Practices
Credit Card Rules
If you know a particular card is tied to a particular bank or credit card account, we recommend adding a rule that recognizes the last 4 digits of that card and sets the transactions to an expense and the payment account to that bank / credit card account.
Make all transactions default to a bill
If you want to make all transactions default to a bill, you can do this by creating a rule that matches all transactions and sets the type to "Bill".
To create a criteria that matches all transactions, we recommend using: Scanned text contains " " (a single space).
FAQs
How can I introduce my client to Receipts?
To introduce your clients to the new ways of sending you documents (i.e. by email or text), we recommend sending them an email – we've prepared a template email you can use for just that!
You can send this email as an Email Blast and filter your contact list to only send it to clients who have Receipts enabled.
Who can enable Receipts?
Only Admin and Super Admin users can update the client's subscription plan to Plus (step one in setting up Receipts) and set up client forwarding emails.
What receipt file types are supported for scanning?
Receipt scanning supports the following file types:
PDF
PNG
JPEG
TIFF
HEIC (automatically converted from HEIC > JPEG)
How can I see transactions I have posted in Receipts?
Click the "posted" button (looks like a circle) in the top right corner of your Transaction files to view transactions you have posted from Receipts.
What about texts that come from outside numbers?
Attachments sent to your practice phone number from numbers that are not associated with your Contacts are sent to the global staging area on your Client List. This is the same for clients that have their number associated with multiple files.
You can access this staging area by clicking Review Files to the right of the banner.
Review files as necessary and choose to Move, Download, and/or Delete from there!
When texting a receipt, can the sender include details via text?
While we are working on getting this functionality in the future, text does not currently come through to your practice phone number. For now, only send receipt files.
