Transaction Review Reports

Updated over 2 weeks ago

Transaction Review

The Transaction Review closing task section allows bookkeepers to review transactions that need attention, avoiding unexpected issues during the month-end close.

Transactions without Payees

This report will show all transactions without payees.

  • Filter for desired date range

  • Add payees individually or edit in bulk

  • Add vendors

  • Ask client transaction questions

Expense Inconsistency

Within the Expense Inconsistency report, Double automatically highlights transactions that may be miscoded by comparing current expenses against historical data. When corrections are made within this report, the changes are immediately synced to QuickBooks Online and Xero.

This report looks at each expense in the current period, cross-references those against transactions in the past year, and flags potential anomalies. Discover more details on why transactions appear here by clicking the More Information arrow to the left of the transaction.

Toggle between Payee and Description within the Expense Inconsistency report in order to see inconsistencies with either!

Excluding transactions

Fine-tune the Expense Inconsistency report by clicking the Exclude button to exclude transactions that aren't actually inconsistent, or by switching to year-to-date filtering in settings if the books have been closed for the prior year.

Uncategorized Transactions

The Uncategorized Transactions report shows any transactions that need follow-up with clients.

To ensure those transactions appear, add or update the accounts used to code unknown transactions (for example, Ask My Accountant, Uncategorized Expense, etc.).

From here, send questions to the portal so that the client can share additional context.

Transactions Coded to Parent Accounts

This report shows you all transactions coded specifically to parent accounts.

For example, if there is an Advertising account and a child account Advertising: Social Media, any transactions coded to Advertising will show up here.

Transactions > $X

This report will show any transactions that exceed a certain dollar amount.

Editing threshold

The default threshold is $1,000, but this can be changed by clicking Edit Dollar Threshold. Any changes will be saved to the client for all future closes.

πŸ’‘ Edit $ thresholds for all clients under Practice Settings.

Transactions without Class or Location

These reports will show any transactions that have not been assigned to a class or location in QuickBooks.

Excluding transaction types

To make the best use of this report, we recommend using the Exclusion List to filter out transaction types like transfers, payments, and bill payments that naturally do not have Class/Location.

πŸ’‘ The reports are only available if Class/Location are enabled in Client Settings

Expenses without a Customer

This report shows any expense that does not have an assigned customer or project. This is useful when customer or project tracking is enabled on expenses.

Edit Included List

An Inclusion List can also be used in this report to select only certain accounts to run the report against. For example, if customers are applied only to certain COGS accounts, those accounts can be selected in the Inclusion List.

πŸ’‘ The report is only available if Customers are enabled in Client Settings

Class Inconsistency

The Class Inconsistency report works just like the Expense Inconsistency Report, except it checks for inconsistencies in classes, not accounts/vendors.

This report looks at transactions coded to different classes in the current period, then cross-references those against transactions in the past 12 months and flags potential anomalies.

Discover more about why transactions appear in this report by clicking the More Information arrow to the left of the transaction.

Expenses and Bills without Attachments

The Expenses and Bills without Attachments report shows any transactions (bills or expenses) that do not have attachments in Double or QuickBooks / Xero. When receipts are managed for clients, this report provides an easy way to identify items that require follow-up.

Transactions Auto-Added by Bank Rule

The Transactions Auto-Added by Bank Rule report shows all transactions that were auto-added by a bank feed rule as part of your month-end review.

This report was built to help ensure QuickBooks Online rules are functioning properly, enabling greater confidence in using auto-add more broadly and automating more coding work.

Custom Transaction Review reports

Create custom reports for transactions that meet specific criteria in Double.

Creating a custom transaction review report:

  1. Click + Add Report at the bottom of the Transaction Review section

  2. Click + Add custom report

  3. Define the criteria for the Saved Search

Pro tip: choose "Account or Split" logic

In many cases, the Account or Split criteria is preferred over Account or Split alone to ensure the report includes all applicable transactions.

Tax Inconsistency (Canadian files only)

The Tax Inconsistency report is only available to Canadian QuickBooks Online files. It will show whether or not GST is consistently applied to transactions with particular vendors.

In the example below, Breakfast Table is flagged as inconsistent because sometimes it has GST applied but other times it does not.
