Email Templates

Email Templates make it easy to save and reuse standard client communications.

Double includes a set of default templates, and additional custom templates can be created as needed. Default templates are permanent and cannot be deleted.

Access to the Template Manager is limited to Admin and Manager users.


Accessing the Template Manager

There are a few ways to access the template manager.

From the Template Manager, select the "Emails" tab.


Creating a new email template

  1. Go to the Template Manager > Email tab (Quick link)

  2. Select the + at the top right of the list

  3. Add a template title, email subject line and body

  4. Save


Merge Tags

Email templates can be personalized using merge tags, which automatically insert dynamic information (such as names or other client details) into messages when the template is applied and sent.

Merge tags can be added directly within the template modal by clicking on the Merge tags icon.

Subject line tags

Available subject line merge tags include {Client_Name} and {Practice_Name}.

Email body tags

Available body merge tags include the following:

  1. {Client_Name}

  2. {Client_Portal_URL}

    1. A raw link to the portal sign in page, pre-fills the contact's email

  3. {Contact_First_Name} and {Contact_Last_Name}

  4. {Practice Name}

  5. {Unanswered Questions Count}

    1. Total number of transaction & Non-transaction questions in the "Waiting on client" status

  6. {Sign into Blurb}

    1. Text will read "sign into the Client Portal" with a hyperlink to the portal sign in page (same link as #2 in this list)

  7. {Practice Phone Number}

  8. {Client Receipt Forwarding Email}

  9. {Requests count}

    1. Includes pending bank feed connection, signature, and organizer requests

  10. {Request detail list}

    1. Bulleted list of all items pending in the portal

Email body merge tags will populate in the same location as your cursor; or, you can type a bracket ( { ) and start typing.


Default email templates

Double has pre-loaded email templates within the Template Manager. The locked email templates cannot be deleted or hidden, but they can be edited and customized.

Some of these email templates are directly related to notifications triggered by actions within Double, so it's important to keep their language universal, and utilize merge tags for client-specific information.
